How can we help?
Short, practical guides to get your retreat up and running.
Getting started
You'll have your first retreat live in a few minutes.
1. Create your retreat
- Sign in and, on your dashboard, click + New retreat (first-time signups are walked through this automatically).
- Give it a name (e.g. "Nosara — August 2026"), a location, and your start/end dates.
- Optionally add your logo and colors under Guests → Branding so the app looks like yours.
2. Add your schedule & activities
- Open the Schedule tab and add sessions day by day — yoga, meals, free time, travel.
- Open Activities & Excursions to post add-ons. Set a capacity, and a price if guests should pay (see Payments).
3. Invite your guests
Import your guest list (next section), then send invites — each guest gets a code and a link to the app.
Guest management
Importing from WeTravel
- In WeTravel, export your participant list as a CSV or Excel file.
- In Retreat Companion, go to the Guests tab and choose Import from WeTravel.
- We automatically map the columns — first/last name, email, phone, dietary needs, and medical/injury notes. Re-importing updates existing guests instead of creating duplicates.
Importing any spreadsheet
Not on WeTravel? Use Import file with columns: name, phone, email, dietary, allergy, injury, room.
How guests log in
Guests don't need an email or password. They open your retreat link and enter the last 4 digits of their phone number — that's their code.
Sending invites
- On the Guests tab, click Send invites to email everyone their code and app link.
- Use Send reminder to nudge only the guests who haven't logged in yet.
Payments
Guests can pay for paid activities (like a massage or an excursion) by card, right in the app — no chasing Venmo or cash.
Turning on payment for an activity
- Open Activities & Excursions and either create an activity or edit an existing one.
- Set a Card price ($) and tick Require card payment to sign up.
What the guest sees
- On a paid activity the button reads Pay & sign up.
- Tapping it opens Stripe's secure checkout. When they finish, they're marked as signed up and paid automatically.
- If they cancel, nothing is charged and they're not signed up.
Where the money goes
Payments are processed by Stripe and go to your connected Stripe account. You can see who has paid on each activity, and export it from the activities CSV.
Custom domains
On the Business plan you can serve the app from your own web address — for example app.yourretreat.com — instead of the default link.
Setting it up
- Pick the subdomain you want to use, e.g.
app.yourretreat.com. - At your domain registrar (GoDaddy, Namecheap, Cloudflare, etc.), add a CNAME record:
Type Name / Host Value / Points to CNAME appretreat-companion.onrender.com - Tell us the domain so we can attach it to your retreat. Once DNS propagates (usually under an hour), visiting your domain drops guests straight into your retreat.
